Privacy Policy

This policy summarises the key points about how Every Interaction collects, uses and discloses personal data and ensures compliance with the laws and regulations throughout jurisdictions where we operate.

What is personal data?

Personal data is information (including opinions) which relates to an individual and from which he or she can be identified either directly or indirectly through other data which the company has or is likely to have in its possession. These individuals are sometimes referred to as data subjects and include clients and employees.


Mark Gracey is the Data Protection Officer of the personal data we process and is therefore ultimately responsible for ensuring our systems, processes, suppliers and employees comply with data protection laws and regulations in relation to the information we handle. Our Data Protection Officer provides guidance and advice to the company as required.

As a company, we believe it is the responsibility of the whole team to ensure that any personal data sent or received is handled in the correct manner as outlined in our Data Security Policy and IT and Communications Policy.

All Every Interaction employees must abide by this policy and the policies mentioned above when handling personal data and must take part in any required security and data protection training. Any breach will be taken seriously and may result in disciplinary action.

Principles of data protection

The company has adopted the following principles to govern our use, collection and disclosure of personal data. These principles have been established to create a uniform standard across our offices and our partnerships in London and Edinburgh, UK and Jaipur and Mumbai, India taking account of the laws in the jurisdictions where we operate.

The company’s core principles provide that personal data must:

  1. be processed fairly and lawfully and to the extent required under local law with valid and informed consent;
  2. be obtained for specific and lawful purposes;
  3. be kept accurate and up to date;
  4. be adequate, relevant and not excessive in relation to the purposes for which it is used;
  5. not be kept for longer than is necessary for the purposes for which it is used;
  6. be processed in accordance with the rights of individuals;
  7. be kept secure to prevent unauthorised processing and accidental loss, damage or destruction; and
  8. not be transferred to, or accessed from, another jurisdiction where these core principles cannot be met unless it is adequately protected.

As a company the type of data we collect and process falls into one of the following categories:

  1. personal data relating to our employees and obtained during the recruitment process;
  2. participants in our events and other promotional activities;
  3. personal data obtained and used in relation to providing digital services during the course of an engagement.

Participants in our events and other promotional activities


  • Information such as name and business information (email address, job title, who you work for).
  • Additional information may be processed where it is provided by you, for example in correspondence, in connection with an event or in letting us know what areas you are interested in and when you wish to be contacted by us. This may include access or dietary requirements which may reveal information about your health or religious beliefs.
  • Our websites may also collect your device’s unique identifier, such as an IP address.


  • Information is collected via forms on our website or via email/call only.


  • Personal data will be used to:
    • complete any request you may make;
    • contact you with communications event or marketing updates in line with your preferences


  • Personal data:
    • will not be transferred to our partners, or to service providers who support the operation of our business;
    • which is shared with service providers will be limited to that which is required for providing the service and will be adequately protected;
    • will not be given to other third parties, apart from in limited circumstances such as, where we run a joint event and you book onto it.


  • We do retain data collected via our promotion activities for 1 year since the last interaction with you.
  • You may request the removal of your information at any time.

Personal data obtained and used in relation to providing digital services during the course of an engagement


  • Information processed for relationship management and service opening procedures such as name, business information and identification documentation.
  • We do not encourage the use of personal email addresses and will insist that our clients only provide work alias during the course of an engagement.
  • Additional personal data may be collected for a specific digital delivery but must be encrypted in transit.


  • Relationship management and service opening information is collected from you directly and further information (e.g. to verify your identity) may be collected from third parties, such as publicly available sources.


  • Our carefully selected partners and service providers may process personal information about you on our behalf as described below:
  • Digital Marketing Service Providers
    We periodically appoint digital marketing agents to conduct marketing activity on our behalf, such activity may result in the compliant processing of personal information.


  • Relationship management and service opening data is used for providing digital services administration, commercial purposes (eg creditworthiness) and as required by law (eg anti money laundering).
  • All other personal data will be used for the purposes of providing digital services and to comply with our statutory/ regulatory obligations.
  • In relation to our digital services we will monitor and record information relating to use of the services. This will include how and when the system is accessed and how data is uploaded.


  • Personal data:
    • will not be transferred to our partners, or to service providers who support the operation of our business unless it is required for engagement purposes (eg: data migration). In this case, all data that is transferred between Every Interaction, our clients and third party suppliers will be encrypted and deleted after use.
    • which is shared with service providers will be limited to that which is required for providing the service and will be adequately protected.


  • Once an engagement completes we will remove all personal subject data from our systems after one month of completion/termination.

Individuals’ rights

Personal data must be processed in line with individuals’ rights, including the right to:

  1. request a copy of their personal data;
  2. request that their inaccurate personal data is corrected;
  3. request that their personal data is deleted and destroyed when causing damage or distress; and
  4. opt out of receiving electronic communications from the company.

Should you wish to make a request in line with your rights as an individual, please forward it to the Data Protection Officer.

Employees people must notify or inform the Data Protection Officer immediately if they receive a request in relation to personal data which the firm processes.

How to make a complaint

You should direct all complaints relating to how the firm has processed your personal data to the Data Protection Officer.

Information security is a key element of data protection. The company takes appropriate measures to secure personal data and protect it from loss or unauthorised disclosure or damage.

Call to action (CTA)

A call to action is a marketing term that refers to a prompt that invokes a response leading to a sale. When referring to a call to action (CTA) in the digital design world we usually mean the interactive element that leads to the next step in the experience - something that needs to be clicked or tapped.

User testing

User testing refers to a technique used in the design process to evaluate a product, feature or prototype with real users. There are several reasons why you might want to undergo usability testing, the most common is that it allows the design team to identify friction in a user experience they are designing, so that it can be addressed before being built or deployed.


WYSIWYG (pronounced WIZ-ee-wig) is an acronym for "What You See Is What You Get". It helps identify an an interface that allows user input resulting in an output that is rendered in a similar way. For example; a word processor application interface might resemble a piece of paper,so when printed the user can see how the output will appear.

Content Management System

A content management system (CMS) is an tool that allows a website editor/administrator to manage the content that is displayed. Websites are made of HTML and CSS to create pages. Pages can be hard-coded but would require technical development skills to make changes. A CMS usually allows a person without coding knowledge to amend existing and add new content to a website using a WYSIWYG interface.

Responsive Web Design

Responsive web design refers to a web page that dynamically adapts its layout to fit the size and orientation of the device on which it is viewed. A responsive design allows for a more optimised user experience across desktop and laptop computers as well as smartphones and tablets of varying sizes.

User Stories

User stories allow the functionality of a product or service to be expressed as written descriptions of an experience as seen from the users perspective. The writing of user stories creates a list of design and development tasks to complete in order to create any required functionality.

User Interface

A user interface (UI) is a conduit between human and computer interaction - the space where a user will interact with a computer or machine to complete tasks. The purpose of a UI is to enable a user to effectively control a computer or machine they are interacting with, and for feedback to be received in order to communicate effective completion of tasks.


A persona in UX Design is the characterisation of a user who represents a segment of your target audience. On a project you might create any number of personas to be representative of a range of user needs and desires. The solutions you design must answer these needs in order to deliver value to your target audience.

Card sorting

A great, reliable, inexpensive method for discovering patterns in how users would expect to find content or functionality. Card sorting is used to test the taxonomy of data with a group of subjects, usually to help inform the creation of the information architecture, user flow, or menu structure on a project.


A technique used to generate ideas around a specific topic. Often done in groups, but can be done individuals. The process usually involves writing down all ideas around a topic onto paper, a whiteboard or stickies often implying some kind of association.

Minimum Viable Product

An MVP is a product that has the minimum set of features to prove the most essential hypothesis for a product. Businesses building a new product can create a Minimum Viable Product to prove that an idea is viable and warrants further investment. A further benefit being that the next stage of development can be informed by feedback obtained from testing that MVP.


A sitemap is a diagrammatic representation of a hierarchical system. It usually depicts the parent-sibling relationship between pages in a website, showing how sub pages might be arranged underneath their parent groupings. This arrangement forms a map of the site.

User journey

A user journey represents a sequence of events or experiences a user might encounter while using a product or service. A user journey can be mapped or designed to show the steps and choices presented as interactions, and the resulting actions.


A prototype is draft representation built to test ideas for layout, behaviour and flow in a system. Prototypes are an indispensable tool for resolving a large number of potential issues in a concept or business before too many resources are deployed to put a design into production.


A Wireframe is a visual schematic that conveys a basic level of communication, structure and behaviour during the design of a system. Wireframes are low-fidelity designs that bypass including a detailed user interface or visual design, conveying just enough to get across the core idea.


To say something is usable is a qualitative statement about how easy that thing is to use. Usability is an assessment of how learnable a system is and how easy a user finds it to use. The usability of a system or product is a key factor in determining whether the user experience is a good one.

Information Architecture

Information architecture is the design and organisation of content, pages and data into a structure that aids users understanding of a system. A more organised system enables users to more easily find the information they require and complete the intended tasks.

UI Design

User Interface Design is the discipline of designing software interfaces for devices, ideally with a focus on maximising efficiency, responsiveness and aesthetics to foster a good user experience.

UX Design

The practice of User Experience (UX) Design is the coming together of many specific design related disciplines to improve the usability, responsiveness, uptake and aesthetics of a product or service.

User Experience

A general term that covers all aspects of a user's participation while engaging with something that has been designed. Usually when talking about User Experience in the digital design field it refers to the interactions, reactions, emotions and perceptions while using an app, service, website or product.
